What a valid GST invoice must contain
This is not a style question. If a required field is missing, your buyer's input tax credit can be challenged, and that turns your paperwork into their problem and then back into yours. The rules require the following.
- Name, address and GSTIN of the supplier
- A consecutive serial number, unique within the financial year, using only letters, numbers, hyphens and slashes, up to 16 characters
- Date of issue
- Name, address and GSTIN of the recipient if they are registered
- For an unregistered recipient where the value exceeds ₹50,000, their name, address and the delivery address
- HSN code for goods, or SAC for services
- Description, quantity and unit
- Total value, taxable value after any discount, and the rate and amount of tax split into CGST, SGST, IGST and cess as applicable
- Place of supply, with the state name
- Whether the tax is payable on reverse charge
- Signature or digital signature of the supplier or an authorised representative
The form above covers all of these. Print it, sign it, and it is a compliant document.
The serial number rule catches people
The number has to be consecutive and unique within the financial year. Skipping numbers, restarting the sequence mid year, or issuing two invoices with the same number are all problems. A simple pattern such as INV-001 rising by one, restarting each April, is the safest approach. If you cancel an invoice, do not reuse its number.
Place of supply decides which tax applies
Within your own state you charge CGST and SGST, half the rate each. To another state you charge IGST at the full rate. The total tax is identical either way, but putting the wrong one on the invoice means your buyer cannot claim the credit cleanly.
For goods the place of supply is normally where they are delivered. For services it is usually the recipient's location if they are registered. There are specific rules for particular services, so check anything unusual rather than assuming.
HSN and SAC codes
HSN codes classify goods and SAC codes classify services. How many digits you must quote depends on your turnover, with larger businesses required to be more specific. Getting the code wrong can mean the wrong rate, which is your liability. Look yours up on the GST portal rather than guessing, and once you have it, reuse it consistently.
Saving as a PDF
Click print, then choose "Save as PDF" as the destination instead of a printer. Every current browser offers this. The page is styled so the form disappears and only the invoice prints, on clean white with no navigation or advertising.
Nothing is uploaded at any point. The invoice exists only in your browser until you print or save it, which also means closing the tab loses it. Save the PDF before you close.
Practical habits worth having
- Put payment terms on the invoice, not just a due date. "Net 15" or "payable within 15 days" is harder to ignore than a date in a corner.
- Add a UPI QR code for small business customers. Removing friction from paying you genuinely speeds up collection. The QR code generator makes one.
- Keep every invoice you issue, including cancelled ones, for the retention period the law requires.
- Invoice the day you finish, not at month end. Payment clocks only start when the invoice arrives.
One clear caveat. This tool produces a correctly formatted document. It does not file your returns, does not check whether the rate you entered is right for what you sold, and is not a substitute for an accountant. Rules change. Verify anything you are unsure of.
Common questions
Is this invoice legally valid in India?
The format includes every field the GST rules require, so a completed and signed copy is a compliant tax invoice. That said, validity also depends on the content being correct, including the rate, the HSN or SAC code and the place of supply. Those are your responsibility.
How do I save it as a PDF?
Click print and choose Save as PDF as the destination rather than a printer. The stylesheet hides the form and the site navigation, so only the invoice itself appears.
Is my invoice data stored anywhere?
No. Everything stays in your browser and nothing is transmitted. It also means the invoice is lost when you close the tab, so save the PDF first.
What if I am not registered for GST?
Choose No GST as the tax type. The document then prints as a plain invoice rather than a tax invoice, with no tax lines, which is correct for an unregistered supplier. You must not charge GST if you are not registered.
Can I put different GST rates on different lines?
Yes. Each line has its own rate field and the totals group the tax by rate, which is how a multi rate invoice should be presented.
Do I need to number invoices in a particular way?
The number must be consecutive, unique within the financial year, no more than 16 characters, and use only letters, numbers, hyphens and slashes. Do not skip numbers or reuse one from a cancelled invoice.
Can I add my logo?
Not in this version. If you need a logo, save as PDF and add it in any PDF editor, or ask me about a version built for your business.
